Billing and the till

Selling at the counter: taking a bill, payments, printing, returns, and closing the day. Billing → New bill

Taking a bill

  1. Scan the piece's tag, or type its tag or the design's SKU. A saree with its own tag is one line; a stole or dress material is scanned by its design code and the quantity changed.
  2. Add the customer if the bill is on credit, needs their GSTIN, or they want it in their name. Walk-in customers need nothing.
  3. Change a line's discount if allowed. A discount above the cap asks for a manager's approval.
  4. Take payment — see below — and settle. The bill is numbered and posted, and the receipt prints.

No network? The till keeps the whole catalogue on the device, so scanning and billing carry on. Bills taken offline are posted when the connection returns; the server works out every total again.

Selling beyond recorded stock

If a loose item is sold beyond what the branch's books show, the till stops and asks for a manager. A bill already taken offline still posts, and is flagged for the manager to look at. Tagged pieces are checked piece by piece and cannot be sold twice.

Finding and cancelling bills

Billing → Bills lists every bill, filtered by date, branch, customer, status, payment mode or amount, and exports to Excel. Cancelling a bill needs the cancel permission — the outlet manager's by default — and reverses its voucher and stock; goods a customer brings back are a return instead.

Returns and credit notes

  1. Open Billing → Returns and find the original bill.
  2. Choose the lines, and for loose goods the quantity, coming back.
  3. Choose what the customer gets: a refund, an exchange for other goods, or credit kept on their account to use later.

A return is a credit note with its own number series. The stock comes back, and GST is reduced in the month of the return — the month of the original sale is never rewritten.

Closing the day

Billing → Day close totals the counter's takings by payment mode for the day, so the cash in the drawer can be counted against them.
